Artworks
The catalogue is where everything else on the platform starts: the site, the shop, the PDF portfolio, certificates, passports. Here works are added, described, ordered, and it is decided what a visitor sees.
Adding a work
The quickest way is to drag files in. You can drop many at once: a
separate work is created for each image, and titles and descriptions
can be filled in later. That is deliberate — a catalogue should be
complete first and tidy second.
If there are many works and they are already described elsewhere,
there is bulk adding: a row per work, with title, year and the rest
at once.
How many works you can keep depends on the plan. When the limit is
reached nothing disappears — new works simply stop being added until
you free space or change plan.
What goes in the card
Nothing is strictly required — an image alone will do. But the year,
the medium and the dimensions are what a gallery prints on the label
beside the work, and the first thing asked once the work is being
considered seriously.
Beside them the card holds price and currency, the status (available,
reserved, sold, not for sale and others), where the work currently
is, and a quantity for editions. The price can be withheld and shown
as "on request" instead.
This is also where a work is tied to a medium, a series and a
project. Those three govern how the catalogue looks on the site.
Images
A work has a main image and additional ones. The main one is what
appears in the list and in social previews when the link is shared;
any of the others can be promoted to main.
Images can be cropped after upload without re-uploading the file.
Quality is checked automatically: if a file is too small or blurred
you get a warning rather than a refusal, because sometimes no better
file exists.
Finding a work
Search runs over title and author. Alongside are filters: year,
medium, series and — for a gallery — a particular artist. Filters
combine, so "prints from 2023 in this series" is a single list.
The catalogue shows either as a flat list or as folders. The mode is
remembered; folders help when there are many works, a list when you
need to see everything at once.
Changing many works at once
Selected works can be changed together: the year on ten works, one
medium across a whole series, moving works into another project, or
a status change in bulk.
Year, medium, dimensions, price and currency, status, visibility,
location, medium, series, project, artist and shipping terms all
change together. A field you leave empty is left alone, so changing
one year will not wipe everyone's descriptions.
What a visitor sees
Every work has a visibility: shown on the site, hidden, or reachable
only by a direct link. The last is useful when a work is being shown
to one particular person and does not belong in the public
catalogue.
The order on the site is the one you set by dragging. Works for the
homepage are chosen separately: how many and in what order. A sold
work does not vanish from the site — the status stays visible, and
that is fine: sold work says something about a practice too.
Languages
A work's title and description can be translated into the site's
other languages. Translation starts from the work itself; the whole
catalogue at once lives under Translations. How many languages are
available depends on the plan.

Two documents print straight from the card: a work passport — the
full description for a collector or an insurer — and a certificate of
authenticity. Both draw on the same card, so the fuller it is, the
less has to be typed by hand.

The certificate is generated from the work itself: you pick a language
and it comes out bilingual — English plus the one you chose. That is
deliberate: a certificate is shown abroad more often than at home, and
one in Ukrainian alone proves nothing there.
Both take their data from the same page, so the more completely it is
filled in, the less there is to add by hand. Issued certificates are
collected in a register, which shows which work each one belongs to and
who it was issued to.
